This page describes how Valencis Trade processes the personal data collected through the equipment enquiry form available on this site.

1. Data Controller

2. Data We Collect

A request can be submitted through the enquiry form, by phone, on WhatsApp or by email. The form accepts several items in a single request. The following information is collected for each item, whatever the channel:

• Type of item: equipment or material
• Category, brand, model, year
• Quantity and unit, or a free-text description for an item not listed in our catalogue

And for the request as a whole:

• Country of delivery
• Currency and indicative budget, converted to EUR for internal processing
• Desired timeframe
• Name and company
• Email address
• Phone or WhatsApp number
• Interface language selected and origin of the visit, for requests submitted through the form
• Date and time of your consent, for requests submitted through the form
• Content of phone, WhatsApp or email exchanges needed to handle the request
• How you heard about Valencis Trade, if you tell us
• The reference assigned to your request, shown to you once it is sent

Anything you have already typed is kept on your own device so that nothing is lost if you are interrupted: it stays there and only reaches us if you send the form.

3. Purpose

To assess your request and put you in contact with a supplier in connection with the brokerage of construction equipment and materials.

4. Legal Basis

Handling your request, whether submitted through the form, by phone, on WhatsApp or by email, is based on steps taken at your request prior to entering into a contract (Article 6(1)(b) GDPR). The commercial follow-up that results from it, including reminders, is based on the legitimate interest of Valencis Trade in responding to the requests it receives (Article 6(1)(f) GDPR).

5. Recipients

Your data is processed within Valencis Trade, by authorised persons only. It is never sold or transferred. It is shared with the suppliers consulted, to the extent necessary for the search and the introduction, and with the technical processors needed to handle requests: data storage (Airtable), hosting (Vercel), email delivery (Resend), messaging (WhatsApp) and text analysis by artificial intelligence (Anthropic). These processors are bound to comply with the GDPR.

6. Retention Period

Three years from the date of last contact where the request does not lead to a commercial relationship, or for the duration of the commercial relationship if you become a client — unless you request earlier deletion.

7. International Transfers

Airtable, Vercel, Resend and Anthropic are established in the United States; WhatsApp is provided by Meta Platforms Ireland, which may transfer data to the United States. These transfers rely on the EU–US Data Privacy Framework where the provider is certified under it, and otherwise on the European Commission's Standard Contractual Clauses incorporated into its data processing agreement. Where a supplier consulted is established outside the European Union, sharing your needs and contact details with it is necessary for steps taken at your request prior to entering into a contract (Article 49(1)(b) GDPR).

8. Your Rights

You have the right to access, rectify, erase, restrict and object to the processing of your personal data. To exercise these rights, contact hans@valencis.trade. You also have the right to lodge a complaint with the CNIL, the French data protection authority (www.cnil.fr).

9. Security

Data is stored on secure infrastructure (Airtable), with access restricted to persons authorised by the data controller.
